Position Summary:
The Donor Services Associate handles a significant volume of transactions for the organization, including accurately processing donor pledges, application of payments using different methods, and other finance related records. They maintain the integrity of the information in the Customer Relationship Management System (CRM). The role requires the individual is highly motivated, analytical, detailed and self-driven with skills in accounting, project management, organization and communication.
Essential Duties and Responsibilities:
- Record direct mail, tribute, telemarketing, and credit card fee pledges in alignment with donor intent
- Apply payments such as credit cards, online payments, ACHs, stock transactions, payroll deductions, bonds, and various check types, including but not limited to Canadian, Donor Advised Fund, Foundation, Trust and Endowment to donor’s account, ensuring account integrity and accuracy
- Generate and audit check deposits
- Process and review credit card transactions
- Research and analyze donor account and assist with account reconciliation
- Create, update, and maintain constituent records to ensure the accuracy of the database
- Prepare adjustment forms with required supporting documentation
- Work with accounting staff to resolve CRM and MIP (accounting software) discrepancies
- Assist with the creation of off-cycle billing statements and Quarterly Statement production
- Produce off-cycle tax receipts and participate in tax receipt production at year-end
- Build relationships with Fundraising and Development staff to aid in transaction processing, gift collection, and account analysis
- Answer internal (staff) and external (donors) inquiries regarding financial and departmental information
- Provide event staff with RSVP copies and assist with the resolution of registration discrepancies
- Assist with monthly and annual closing processes
- Generate and resolve internal departmental requests made through JIRA ticketing system
- Handle and resolve Donor Services email box
- Research returned mail and update CRM
- Maintain filing in a timely and orderly fashion
- Manage specialty areas as assigned
- Perform other assigned tasks and duties necessary to support the department
Qualifications and Success Factors:
- A minimum of an associate’s degree or two plus years’ experience in accounting, receivables or payment processing is required; bachelor’s degree in accounting or finance is preferred
- Two plus years of experience or proficiency working in a CRM database required
- Organization ticketing system (JIRA, Freshservice) experience preferred
- Strong knowledge of basic office computing, including MS Office (Outlook, Word, Excel, PowerPoint, Teams), Zoom required
- Strong analytical and problem-solving skills
- Detail-oriented and highly organized with proven ability to manage and prioritize multiple tasks or projects
- Excellent interpersonal, communication, and customer service skills
- Maturity, professionalism, and high level of discretion are required
- Ability to work effectively on a team and independently
- Must be able to pass Level 1 background check

Work Environment:
Position is eligible to work from home occasionally in accordance with Federation policies. When working from home, employee must:
- Follow all Federation policies and procedures,
- Be available to other employees during Federation’s normal business hours,
- Not work from a public place (e.g., coffee shop, library, etc.) and/or join a public, unsecure wi-fi network when working with sensitive or confidential information,
- Coordinate with IT department to maintain appropriate computer equipment and connectivity.
Pay Rate:
In addition to benefits, the hourly rate for this role ranges between $27 and $29 per hour and the role is scheduled for a 35 hour work week. We benchmark our salary ranges for new hires in relation to the role, level, and role location; however, we consider a multitude of factors, to include relevant experience, skills, and education/training, to determine compensation within the identified range.
