EXECUTIVE ASSISTANT TO THE CLERGY
Position Overview
Temple Jeremiah is seeking a dedicated and detail-oriented Executive Assistant to the Clergy to provide essential administrative and organizational support to our Senior Rabbi, Rabbi, and Cantor. This full-time position plays a vital role in ensuring the smooth operation of the clergy’s responsibilities while fostering meaningful connections within our congregation. The ideal candidate is proactive, compassionate, and highly organized, maintaining the highest level of confidentiality and professionalism.
This role requires collaboration with clergy, staff, lay leaders, and volunteers while embracing our values of genuine connection, caring service, and an upbeat spirit in all interactions.
Key Responsibilities
Clergy Administrative Support
- Serve as a central point of contact for the clergy team, ensuring seamless coordination of schedules, correspondence, and events.
- Draft, edit, and prepare correspondence, presentations, and other materials with clarity and warmth.
- Maintain organized filing systems for documents and reference materials.
- Coordinate and schedule clergy meetings, including distributing agendas and handling logistical arrangements.
Lifecycle Event & Pastoral Care Coordination
- Manage a confidential database tracking congregants’ pastoral needs to ensure compassionate and timely support.
- Coordinate funeral and shiva arrangements, serving as the first point of contact for scheduling.
- Assist families with baby namings, britot milah, and conversion scheduling, ensuring each experience is handled with sensitivity and care.
- Schedule clergy meetings with B’nai Mitzvah students, wedding couples, families preparing for funerals and shivas, and conversion students.
- Work closely with the B’nai Mitzvah Coordinator to ensure smooth preparation for lifecycle events.
Communication & Member Engagement
- Monitor, respond to, and direct incoming communications for the clergy with a welcoming and attentive approach.
- Greet and assist congregants and guests, fostering a warm and inclusive atmosphere.
- Liaise with external contacts on behalf of the clergy, ensuring professionalism and attentiveness.
Program & Event Support
- Provide logistical and administrative support for clergy-led programs, including educational and musical events.
- Assist with organizing guest speakers, performers, and special programs.
- Maintain clergy teaching materials and class rosters, ensuring accuracy and accessibility.
- Support the Music Director and volunteer choir with organizational needs.
Personalized Clergy Support
- Manage clergy calendars, appointments, and travel arrangements with efficiency and foresight.
- Assist with tracking and disbursing clergy discretionary funds as directed.
- Compile materials for Shabbat services, including blessings, service details, and remembrance lists.
- Provide additional assistance with personal tasks and travel as needed.
General Office & Administrative Support
- Maintain synagogue software systems (Calendly, LiveControl, Notebird, etc.).
- Support mailings, communications, and general office tasks as needed including answering doors, phones, and greeting congregants and guests.
- Attend staff meetings, services, and congregational events as required.
Key Qualifications
- Minimum of five years of experience in administrative or executive support.
- Knowledge of, or a willingness to learn, Jewish traditions and lifecycle events.
- Strong interpersonal and communication skills, with a warm and welcoming approach.
- Exceptional organizational skills with keen attention to detail.
- Ability to handle sensitive information with discretion, empathy, and professionalism.
- A proactive mindset with the ability to prioritize tasks and anticipate needs.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams); experience with synagogue management software (ShulCloud a plus).
- A willingness to work occasional evenings and weekends as needed for events and services.
