Hours: Full-Time - Monday-Thursday, 8:30 AM-4:30 PM; Friday, 8:30 AM-3:00 PM (Occasional nights, weekends and Jewish Holidays with appropriate compensation)
Summary:
Temple Emanuel, an esteemed member of the Union for Reform Judaism (URJ) and the largest Reform Congregation north of Boston, is seeking a dynamic, personable Administrative Assistant. You will provide robust support to the Clergy and Executive Director, helping shape the future of our thriving community of over 375 families. The role involves engaging closely with our supportive congregation and administering key functions of the temple office to meet their evolving needs. Key Responsibilities:
The Administrative Assistant works closely with the Rabbi and Executive Director on daily operations of the Temple. This role is often the first point of contact for congregants and guests, requiring professionalism and the ability to work effectively in team settings. The role involves managing multiple projects simultaneously and responding proactively to a dynamic work environment with attention to detail, sensitivity, confidentiality, and enthusiasm. Key tasks include supporting the Rabbi and Cantor in meeting community needs, such as scheduling pastoral visits and calls, managing the Rabbi's calendar, and facilitating correspondence. The assistant also supports the Executive Director by coordinating systems and processes necessary for operations. This includes managing the temple's calendar, producing communications, and maintaining accurate record keeping of our database. The successful candidate will possess attention to detail, dependability, experience managing schedules and databases, and an appreciation for a synagogue's diverse roles in the Jewish community.
Holidays and Life Cycles Events:
Offer administrative support for lifecycle events such as B’nai Mitzvah, Funerals, Weddings, Conversions, Baby Namings, etc., and conduct necessary follow-ups. Actively participate in staff-wide efforts for all holidays.
Qualifications and Skills:
- Exceptional written and verbal communication skills
- Ability to handle sensitive information confidentially
- Multitasking and prioritization skills in a fast-paced environment
- Proficiency in calendar management
- Positive interaction with staff, community members, and others
- Ability to work independently with minimal oversight to complete projects
- Proficiency in computer skills, including Microsoft Office, Google Suite, and others
- Database management skills
- Basic website management skills
- Attention to detail, even under tight deadlines
- Problem-solving skills with sound judgment and common sense and the openness to ask questions when necessary
- Professionalism, diplomacy, and discretion in handling confidential matters
- An interest in learning about synagogue life, Judaism, and the Jewish holiday cycle
Desired but not necessary:
- Knowledge of synagogue life, Judaism, and the Jewish holiday cycle
- Bachelor's degree
- At least five years of relevant work experience
