Organization Overview:
Anshe Sholom B’nai Israel Congregation (ASBI) is a Modern Orthodox shul located in the vibrant Chicago neighborhood of Lakeview, one block from Lake Michigan. We are a welcoming and diverse community committed to halacha, intellectual pursuit, and religious engagement and growth. ASBI’s 260 member units include undergraduate and graduate students, young singles and families, and long-time residents. The membership includes Jews from a wide range of backgrounds in religious observance.
Position Overview:
The Operations Manager of Anshe Sholom B’nai Israel Congregation (ASBI) oversees the major administrative functions for the organization and is a key partner for the rabbi, the board and the community at large. The Operations Manager is responsible for all building maintenance and property oversight and oversees Anshe Sholom’s financial operations. The Operation Manager has management responsibilities of Associate Director and Maintenance Coordinator.
Position Responsibilities:
Financial Oversight of Expenses and Budget
- Track all expenditures related to income, expenses, budgets, and cash flow, both actual and expected. Reconcile monthly.
- Oversee and process all financial reporting, incoming bills, reimbursements, transfers, invoicing, tax documents, and signatories, as needed.
- Manage payroll for staff and hourly contractors; ensure approval by President.
- Distribute and file tax-related documents, including W-2 and 1099 forms; create and file quarterly 941 tax returns.
- Renew tax-exempt status materials annually.
Building Oversight, Maintenance, Security and Projects
- Responsible for all work, repair, project management relating to the building and surrounding property, including security.
- Management and arrangement of contractors (bids, proposals, agreements, scheduling).
- Ensure the building is Shabbat and Yom Tov ready, including management of lights and warming sources.
- Management and oversight of maintenance of the building, including cleanliness of public spaces, snow removal, landscaping, etc.
- Serve as point of contact for the security team, including scheduling of special events, keypad entry, etc.
Supporting ASBI Programming and Events
- Logistical Coordination: Supervise and assist with the set-up and clean-up of programs and events, ensuring that spaces are prepared, clean, and properly restored post-event.
- Budget and Track Program revenue and expenses.
- Manage catering intake and various supplies on an ongoing basis. Partner with members on events held at shul. Responsibilities include: management of deliveries, labeling and sorting, and replenishment of supplies.
- In coordination with the Associate Director supporting all synagogue and programming needs including ordering and picking up supplies, food, and resources. etc.
Board Work & Support
- Administrative management of Board and committees, including sending minutes and agendas, calendar invites and sending minutes and agendas, calendar invites and budget support work with VP of Finance, and meeting preparation and follow-up.
- Other duties as assigned.
Qualifications:
The ideal candidate will:
- Have a strong background in (nonprofit) office management and leadership; Experience in financial management and Quickbooks.
- Be organized and excel at project and membership data management; be able to establish clear timelines and meet deadlines.
- Be able to identify creative solutions and new ways to approach ongoing challenges.
