Summary Description Of Position
Reporting to the VP of Administrative Services/Operations, the BAR Center Operations Manager serves as marketing, sales and booking agent of Federation’s premier Jewish community event space on the Venice boardwalk, manages event activities, compliance and logistics, and performs a variety of services and hands-on tasks related to day-to-day central services/facilities ongoing operations of BAR center. This role requires a proactive individual who can effectively manage relationships with clients, residents, and internal Federation departments, ensuring a seamless experience for all users of the event space. This individual will also be responsible for ensuring the property is well-maintained, handling tenant issues, and coordinating repairs and maintenance. The ideal candidate will proactively seek booking opportunities for the space and possess strong organizational skills, a customer-focused mindset, and a comprehensive understanding of facilities management.
Principal Duties
Marketing and Sales:
- Develop and implement marketing strategies to promote the BAR Center as a premier community event space.
- Actively sell and showcase the community event space to potential clients, generating rental revenue.
- Cultivate relationships with local organizations, businesses, and community groups to drive bookings.
- Maintain and cultivate positive relationships with internal departments utilizing BAR Center for Federation meetings and events.
Event Management & Logistics
- Serve as the primary booking agent for the BAR Center, managing all inquiries and reservations.
- Maintain an organized calendar for room reservations, including internal meetings, events, and external partner organizations.
- Assist in the development, communication and implementation of policies and procedures for use of the space.
- Act as the point of contact for all meetings and events held in the BAR Center, ensuring all regulations, standards, security, insurance and kosher kitchen requirements are met.
- Be knowledgeable of all aspects of the building including IT/AV systems to ensure technology capabilities for meetings and events is met.
- Provide light set-up and take-downs for meetings including light furniture moving, cushions on outside deck and assisting with room clean up after meetings.
Facilities Management
- Collaborate with the building engineer, security personnel, and cleaning staff to ensure the BAR Center is well-maintained, clean and secure.
- Establish and maintain files and records related to the operation of BAR Center and inventories on materials, tools, equipment and supplies.
- Perform light hands-on facilities maintenance work i.e.., lighting and sprinkler checks, light bulb changes, etc., before calling in services of 6505 Wilshire’s building engineer
- Be well versed in the operations standards of the Federation and liaise with the security and operations team at 6505 Wilshire.
- Places needed orders for all building needs such as cleaning supplies, emergency medical equipment (oxygen mask, bandages, etc.).
- Work with all building vendors, under the supervision of building engineer.
- Schedule daily, weekly, monthly building services.
- Develop policies and procedures for the building including building manuals
- Monitor facilities budget/expenses
- Manage and negotiates contracts with vendors
- Develop and implement planning for future upgrading and/or replacement of necessary equipment, paint, etc.
Residential Management Liaison
- Act as a liaison with residents living in the 3rd-floor apartment, addressing any concerns related to the use of the BAR Center and ensuring a positive living experience.
- Manage tenant communications, address complaints and ensure tenant satisfaction the key to reducing turnover rates
- Marketing – Advertising the property to attract potential tenants by methods including online listings, social media and partnerships with real estate agents and/or lay leaders
- Screening – Evaluating prospective tenants through background checks, credit checks, and rental history to ensure there are reliable and financially stable.
Additional Duties
Be available to supervisor for additional assignments including assisting with the Campaign, and assisting with inspections, preventative and routine maintenance of common area lighting, sprinkler systems, fire prevention systems, building equipment and fire extinguishers as needed
Work Location: The BAR Center at 201 Ocean Front Walk, Venice, CA 90291 is the work location Monday – Friday, with occasional reporting the Federation office at 6505 Wilshire Blvd as directed. This position must be on call 24/7 with the facilities team to respond to building and/or tenant issues as they arise after hours. This position must also remain on site during certain evening and weekend events and meetings.
Education, Skills & Experience Required For Position
- Proven experience in event marketing, sales, and event management, preferably in a community center or hospitality setting.
- Knowledge of facilities management, including IT and AV systems.
- Ability to work well with people of all ages and backgrounds, providing appropriate assistance to users of the center.
- Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
- Excellent communication and interpersonal skills, with a customer-oriented approach.
- Ability to work independently and remain proactive with the expectations for the position
- Versatile and flexible in performing tasks and is able to work evenings and weekends as needed.
- Must be able to lift 25 lifts and physically able to perform light room configuration changes and light facilities maintenance functions.
- Proficiency in using booking and scheduling software.
