POSITION TITLE: Executive Assistant
REPORTS TO: Senior Vice President, National Affairs
SUPERVISION EXERCISED: May serve as Supervisor for interns, serve as liaison between administrative and managerial staff as needed, and provide training on processes and software.
LOCATION: Anywhere ADL has an office; New York, New York or Washington, D.C. strongly preferred
Grade/Class:Grade C, Non-Exempt, Non-Union

PRIMARY FUNCTION
To provide a broad range of administrative and project management support as well as substantive assistance to the SVP of National Affairs and their respective departments.
Responsibilities
Primary:
- Provide support to the SVP of National Affairs and their respective departments, including program support, expenses, administrative processing, and scheduling.
- Day-to-day engagement with the National Affairs Department's operations, including managing calendars, supporting meetings, and engaging in project coordination.
- Coordinate projects and issues with National Affairs teams.
- Maintain administrative records for key projects and the National Affairs Department's Front Office budget.
- Work closely with accounting and finance team to execute vendor contracts and payments.
- Conduct research, analyze content, write memoranda, prepare PowerPoint presentation, and more on areas related to National Affairs Departments.
- Compile, prepare and submit data and reports for internal and external stakeholders.
- Secondary:
- May serve as a point of communication for external contacts and stakeholders.
- Lead certain projects and initiatives.
Qualifications
Skills:
- Preference for experience with Airtable, PowerPoint, Salesforce, and other dashboards and data visualization platforms.
- Strong computer skills (including Word, Excel, and PowerPoint), analytical and interpersonal skills.
- Excellent written communication skills.
- Demonstrated ability to prioritize and multi-task to complete projects.
- Exceptional attention to detail.
- Strong customer service and communication.
- Strong team player.

WORK EXPERIENCE:
- The ideal candidate has a several years working in a professional office, including experience as an executive assistant.
EDUCATION:
- An Associate’s degree or equivalent experience is required
WORK ENVIRONMENT:
- ADL is a hybrid environment; this role may require 3 days in the office.
COMPENSATION:
- This position has a salary range of $65,000-$75,000. This salary range is reflective of a position based in New York, New York. Please note that actual salaries are commensurate with experience and reflect the budget for a given position, and since ADL has a location-based compensation structure, there may be a different range for candidates in other locations.
