PRIMARY FUNCTION:
Responsible for providing leadership and direction for the payroll function while ensuring accurate and efficient preparation, and timely processing and reporting of payroll for ADL’s diverse multistate payroll functions. Additionally, the Payroll Department maintains all payroll records and reconciliations, in accordance with federal, state, and local regulations and in conformity with ADL procedures and policies.
Responsibilities
Primary:
- Develops, documents and controls all tasks necessary to accomplish the organization's payroll processing objectives, including relationships with internal and external auditors and state and federal agencies.
- Directs the processing of a multi-state bi-weekly payroll (union and non-union) for 450+ employees with estimated annual gross wages / taxes exceeding $60 million annually.
- Lead and coach payroll staff to ensure accurate and timely payroll processing in compliance with established financial, legal, and organizational requirements.
- Continuously improve processes, systems, and controls to drive improved efficiency and effectiveness of payroll functions.
- Initiate and drive projects and initiatives that will further improve the payroll function and its integration with other systems and processes at ADL.
- Responsible for compliance and communications for federal, state, and local requirements including all filings, investigation and response to notices, and all mandatory regulatory and internal processes.
- Responsible for collaborating with outsourced third-party administrator for retirement plans.
- Assist in annual corporate audit, defined contribution plan, and worker’s compensation audits.
Secondary:
- Collaborate with Talent and Knowledge team to ensure updated employee records in UltiPro.
- Respond to employee inquiries regarding salary changes, taxation, etc.
- Develop and provide effective regular and ad hoc reporting as needed.
- Oversee the creation and timely update of controls and process documentation.
Qualifications
Skills:
- Maintains the highest level of confidentiality when dealing with employee information while providing excellent customer service and demonstrating strong communication skills while striving for 100% satisfaction.
- Expertise and experience working with payroll systems (UltiPro/UKG experience a plus)
- Deep knowledge of relevant accounting and tax regulations (federal, state, and local) and relevant labor laws to ensure compliance.
- Ability to manage multiple priorities and adhere to strict deadlines.
- Professional demeanor and integrity particularly while addressing sensitive employee matters of a confidential and/or sensitive nature.
- Interact effectively with all levels of staff and management.
- High level of curiosity and approaches challenges with a problem-solving mentality.
- Well developed communication skills.
- Ability to work collaboratively and independently within a matrixed environment.
Work Experience:
- The ideal candidate has at minimum seven plus years payroll experience including a demonstrable increase in skills, team management and leadership.
- Deep knowledge and understanding of payroll policies, practices, and procedures as it relates to employee data requirements for hiring, terminations, benefits, compensation plans and administrative guidelines.
- Prior experience implementing payroll and / or accounting system conversions a plus.
- Current on all regulatory and compliance requirements within the profession.
Education:
- Bachelor’s or associate degree with deep experience in the payroll profession or equivalent experience.
- Additional advanced degrees and / or certifications in the profession (e.g. Certified Payroll Professional / CPP) a plus.
- Memberships in relevant professional organizations (e.g. APA, SHRM) a plus.
Work Environment:
- ADL is a hybrid environment; this role may require 3 days in the office.
Compensation:
- This position has a salary range of $100,000 to $135,000. This salary range is reflective of a position based in (New York, New York). Please note that actual salaries are commensurate with experience and reflect the budget for a given position, and since ADL has a location-based compensation structure, there may be a different range for candidates in other locations.
