Job Summary
This multifaceted role combines marketing strategy, customer service, and administrative support to enhance the overall member experience and promote our fitness and wellness programs. The ideal candidate will possess strong organizational skills, a passion for fitness, and a commitment to excellence in service delivery.
Job Responsibilities
Customer Service:
- Serve as the overall knowledge base of the Fitness and Wellness Dept. as it relates to customer service. Schedule regular meetings with the Fitness and Wellness Team to ensure depth of knowledge for all programs and events as it relates to the dept.
- Provide exceptional customer service to members and prospective clients, addressing inquiries, concerns, and program information in a professional manner as needed specifically related to department information program registrations and refunds
- Assist with Guest Services coverage as needed under the director of the Wellness Program Director.
Marketing
- In Collaboration with the JCC Marketing Dept. assist in the initial development of assets for programs within the fitness and wellness department including visuals (flyers, signs, posters), collection and sharing content including visuals and language drafts for the marketing team to utilize.
- In collaboration with fitness and wellness dept. directors, mgrs., and the JCC marketing team, monitor and analyze marketing effectiveness as it relates to the department programs/events registrations.
- Work with the fitness and wellness directors, mgrs. and Marketing Dept. to assist with photography as it relates to FW programs and events.
- Provide social media content to the marketing team as it relates to fitness and wellness programs and events.
- Provide weekly updated “What’s Happening at the J” fitness and wellness content to the marketing team. Ensure Fitness and Wellness depts. provide updated content.
- Ensure weekly website overview of Fitness and Wellness content for accuracy and submit changes to the marketing team via website update forms.
- Attend weekly meetings with the Marketing Team to report and receive any updates and relay to appropriate team members.
Data Collection And Analysis
- Collect and analyze program registration data.
- Prepare reports to track participation and identify trends within the dept. (class registrations, attendance of group wellness, sports and recreation, aquatics, Parkinson’s and Fitness).
Program Registrations
- Oversee the back-end registration entries for fitness and wellness programs, ensuring accurate Daxko and Mindbody set-up of programs and sessions in collaboration with the Wellness Program Director.
- Maintain member confidentiality as it relates to personal information and credit card compliance in the CRM.
Ordering And Inventory Management
- In collaboration with the fitness and wellness team, manage inventory for office supplies, marketing materials, and program-specific items. Place orders and ensure timely delivery and organization of materials.
- Submit all orders for payment via accounts payable and expense protocols including expense sheets, credit card reconciliation via ESP or Jot Form approval.
- Order and maintain accurate records with the FW Amazon Business Acct.
Billing Reconciliation
- Assist with billing processes, including invoice distribution, submission and delivery.
- Expense sheet submission and reconciliation to ensure accuracy and timely payment.
- Reconcile monthly credit card charges within the ESP system.
Administrative Support
- Provide administrative support for fitness and wellness staff and programs, including but not limited to scheduling, attending and recording minutes at bi-weekly meetings, ordering supplies, updating website content and maintaining accurate records as assigned for all programs and event attendance statistics.
- Work with the Group Exercise Coordinator to maintain and update the weekly group exercise schedule and share with the marketing team for weekly website update.
- Generate Monthly Board report from team directors and submit it to the dept. director and executive assistant by the assigned due date.
- Assist the Fitness and Wellness control desk with refunds through Mindbody and Daxko as needed.
- Assist the Parkinson’s Connection Coordinator with administrative tasks related to participant communications, attendance list, registrations and refunds.
- In collaboration with the Executive Assistant, communicate fitness and wellness programs and events throughout the organization in weekly “what’s happening” and ensure communications are shared amongst part-time staff for announcements in fitness class, swim lessons, sports enrichment and leagues.
- Provide consistent facility content walk-throughs as it relates to signage ensuring current branded and accurate signage.
- Distribute necessary fitness and wellness information to other JCC depts. as needed including signage and content.
- Attend programs and events as it pertains to fitness and wellness and/or the JCC as needed.
- Assist in the MOD schedule as needed to provide Fitness and Wellness wing coverage )1 evening per week.
- In collaboration with the admin office team, maintain a clean and inviting office environment.
Required Education & Experience: ( Minimum education required; cite years & type of experience)
- Associate or bachelor’s degree in marketing, Business Administration, Sports Management, or a related field preferred.
- Minimum of [3] years of experience in marketing, customer service, or office management, preferably in the fitness or wellness industry.

- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and experience with marketing software and customer relationship management (CRM) tools.
- Knowledge of fitness and wellness trends and best practices is a plus.
- Ability to work flexible hours, including evenings and weekends, as needed.
- Previous bookkeeping experience
- Proficient in Excel, Word, Access, Outlook
- Ability to maintain high level of confidentiality
- Advanced Level PC skills: Microsoft Office Suite – Excel, Word, PowerPoint, and Microsoft Access.
- Ability to perform work that is routine and strong attention to details
- Photography knowledge
- Knowledge of systems and functionality.
- Ability to work in cross-functional teams.
- Excellent project management, customer service, organization, and time management skills.
