As our new Executive Assistant to the Clergy, you will support the rabbi and cantor of the congregation, maximizing their ability to serve the spiritual needs of a diverse congregation. As the initial point of contact for many visitors and newcomers to our congregation, and a friendly face to many regulars, you will also play an important role in helping to make people feel welcome at Beth David.
Job Requirements:
• Strong organizational skills.
• Clear written and spoken communication skills.
• Excellent interpersonal skills, and the maturity and sensitivity to handle pastoral needs and confidential information.
• Computer skills to use software including Microsoft Outlook, Google Workspace (e.g., Gmail, Docs, Calendar, Sheets, Calendly, Slides), Zoom, Doodle, and Sign Up Genius; plus a willingness to learn new technology as needed.
• Familiarity with computer-based customer relationship management (CRM), coupled with an adaptability to learn synagogue-specific software (e.g., ShulCloud).
• Flexibility and ability to manage multiple priorities.
• Previous experience and a bachelor's degree preferred but not required.
Core Areas of Responsibility:
• Calendar management for the clergy (both rabbi and cantor), including oversight of online calendars and correspondence by phone and email to schedule or reschedule meetings.
• In box management for the rabbi, including flagging important emails for follow-up, and responding to and composing correspondence that does not require the personal attention of the rabbi.
• Administrative support for the clergy's pastoral work, including tracking the clergy's visits and communications, corresponding with members of the congregation and the board of trustees, ordering meals and supplies.
• Answering phones during some office hours, welcoming people to the building, and screening calls to the clergy.
• Logistical support for programming, meetings, and lifecycle and religious events, including communication with volunteers, publicity, errands, purchasing, and ordering food. Preparation of printed or digital publicity materials, photocopies, scanning, mailing, etc. Tracking and submitting reimbursements. Anticipating needs for upcoming programs.
• Personal support for the clergy as needed.
• Other office work as needed.
Hours:
24 hours per week. The proposed schedule would be:
M - 11:00am - 6:00pm
T -10:00am - 4:00pm
Th -10:00am - 5:00pm
F -10:00am - 2:00pm
Please note that the needs of the Synagogue may require occasional flexibility with plenty of notice.
The office is closed for some Jewish holidays; the Executive Assistant will have off on those days, but some work will be required on parts of the High Holy Days and other special events, with specific days and hours to be determined.
Salary: $20-24/hour
