The Jewish Community Relations Council is seeking an executive administrative professional for the agency to support three programs. This role blends a high level of professionalism and customer service with superior administrative and communication skills. This person will be handling incoming phone calls and other communications, assisting with board correspondence, manage calendars, assist with logistics for programs, and performing other general office clerk duties and errands .
Job Responsibilities
- Arrange meetings and provide context as needed to assist in discerning priorities; assist in tracking action items for Executive Director
- Draft memos, emails, presentations, and other materials as needed; edit, proofread, and format documents, including those of a confidential nature.
- Perform general administrative duties for the agency, including credit card reconciliation and mileage reports, screening calls, and taking messages, maintaining electronic templates (letterhead, expense sheets, etc.)
- Inputting expense reports, processing invoices, and collecting donations. Keep accurate records of finances and input into database.
- Work with departmental staff to collect information for JCRC and Federation board updates.
- Organize office and assist associates in ways that optimize procedures.
- Sort and distribute communications in a timely manner.
- Updating paperwork, maintaining documents, and word processing.
- Performing general office clerk duties and errands.
- Creating, maintaining, and entering information into databases.
- Assist with communications to schools, elected officials, and interfaith partners.
- Assist with travel needs as needed.
- Be a team player and flexible with requests and workflow.
Required Education & Experience
- High school diploma or associate degree.
- Experience as an office assistant or in a related field.
- Ability to write clearly and help with word processing when necessary.
- Experience using Microsoft Excel
- Experience working with processing archival collections.
- Strong attention to detail.
- Ability to successfully perform routine and repetitive tasks.
- Learn work processes quickly.
- Adapt easily to changing priorities and task assignments.
- Warm personality with strong communication skills.
- Ability to work well under limited supervision.
- Great communication skills.
